We do not ask for your UNFI or KeHE portal username or password, and we never log into distributor portals on your behalf. You upload the remittance; we build the packet; you submit it yourself. That’s the design — not a limitation. Some tools store your portal credentials and submit automatically. We looked at that model and decided against it: portals have terms of service, and you shouldn’t have to hand a third party your login to get a dispute packet.

Your remittance data stays yours.

Your PDF is parsed to produce the deduction data in your account. We do not sell, share, or aggregate your remittance data with other brands, or use it to train models without your permission.

Frequently asked questions

Do you automatically submit disputes for me?

No. Deduction Clerk builds the packet; you log into your distributor portal with your own credentials and submit it. We made this choice deliberately — portal terms of service restrict automated third-party logins, and your credentials shouldn’t be stored by a vendor.

What remittance formats can you read?

At launch: UNFI (ePASS) and KeHE (K-Solve) — the two largest natural/specialty distributors. Kroger and Sprouts are on the roadmap; founding customers have direct input on what comes next.

What counts as “Disputable”?

Our taxonomy flags a line as Disputable when the deduction type and amount pattern suggests it may fall outside standard contractual terms — scan fees above agreed rates, shortage claims without a delivery discrepancy, compliance deductions without a matching violation notice, and similar. We flag it; we don’t make a legal determination. You and your broker or controller make the call — we build the packet once you decide.

What’s the KeHE 48-hour UDR window?

KeHE’s Unauthorized Deduction Reversal process requires you to flag a dispute within 48 hours of the remittance date to use the fastest resolution path. After that you’re on the standard 180-day timeline. Most brands miss the window not because they decide not to dispute, but because nobody saw the flag in time. We show a countdown from the moment you upload.

What’s the UNFI MCB opt-in?

UNFI can lump-sum chargeback your account in a way that makes individual line disputes impossible unless you’ve opted into MCB detail files by emailing [email protected]. If your uploads suggest you’re on lump-sum, we’ll flag it and walk you through the opt-in. (It’s also covered in our free UNFI Survival Kit.)

Is my data secure?

Your remittance PDFs and deduction data are encrypted at rest and in transit. We don’t share or aggregate your data, and you can export and delete your account at any time.

Is there a setup fee or a demo required?
